About the Role
Our client, a growing US-based marketing agency based in Austin, Texas, is seeking a proactive and detail-oriented Chief of Staff to support their CEO and leadership team. The ideal candidate will possess strong organizational skills, an interest in operations, and the ability to contribute strategic insights. We are looking for a candidate who can act as a sounding board for the CEO to think through strategic decisions as well as assist with support functions. Prior Chief of Staff experience is desired.
Hours: M-F, flexibility on time-zone but significant overlap with Austin, Texas is ideal
Key Responsibilities
Executive Support: Act as a trusted partner to the CEO, managing their calendar, scheduling meetings, and ensuring timely follow-ups on action items.
Strategic Planning: Assist in the development and execution of agency-wide initiatives, including business planning, goal setting, and performance tracking.
Project Management: Oversee key projects and initiatives, ensuring deadlines are met and stakeholders are aligned.
Communication: Serve as a liaison between the CEO, leadership team, and internal/external stakeholders, ensuring clear and consistent communication.
Operational Excellence: Identify opportunities to streamline processes, improve efficiency, and enhance team collaboration.
Meeting Preparation: Prepare agendas, presentations, and briefing materials for leadership meetings, board meetings, and client presentations.
Confidentiality: Handle sensitive information with discretion and professionalism.
Team Leadership: Provide guidance and support to cross-functional teams, fostering a culture of accountability and excellence.
Qualifications
Experience & Skills
Prior experience as a Chief of Staff is desired
3+ years of experience in an executive support, operations, or strategic role, preferably within a marketing agency or similar fast-paced environment.
Proficiency in project management tools (e.g., Asana, Trello) and productivity software (e.g., Google Workspace, Microsoft Office).
Experience in marketing is a plus.
Excellent English verbal and written communication skills, with the ability to correspond professionally on behalf of senior leadership.
